Tour Booking Software: Features to Look For and How to Choose
Tour booking software brings capacity, payments, sales channels and guest messages into one place. What tour, boat trip and dive operators should look for, and how ready-made platforms compare with a booking system built into your own website.

Tour booking software keeps dates, time slots and capacity for every tour in one place. It records bookings from your website, marketplaces such as GetYourGuide and Viator, agents and phone calls in a single calendar, takes online payments and sends confirmations automatically. When choosing one, the key tests are capacity management, payments that work in your country, channel connectivity and multilingual support.
This is a buyer's guide for tour operators, boat trip and dive businesses, and activity sellers. We do not recommend a specific product or quote prices; instead we give you the questions and a comparison table so you can judge every vendor the same way. If you are still setting up an agency in Turkey, start with our guide on how to get a TÜRSAB license.
What problem it solves
In high season, the same boat is sold for the same day on WhatsApp, at hotel receptions, at the harbour stand, on your website and on two marketplaces. If capacity lives in a notebook or spreadsheet, a double booking is only a matter of time. Booking software feeds every channel from one inventory. We explain the manual rules in our guide to managing tour capacity.
10 features to look for
- Capacity and time slots. Define departures and capacity per tour, and resources such as boats, guides, instructors and equipment. Private charters and shared seats on the same boat should block each other.
- Online deposits and prepayment. Taking all or part of the price online reduces no-shows. We compare the models in deposits vs prepayment.
- Payments that work where you are based. Many platforms rely on specific international payment providers that are not available in every country. Turkey is one example: Stripe and PayPal are not available to Turkish businesses. Read more in our guide to payment gateways in Turkey.
- Languages and currencies. The booking page, confirmation email and cancellation terms should be in the guest's language, with prices in their currency.
- Channel connectivity. If you sell on marketplaces, availability must sync automatically. More on this below.
- Agent and hotel reception sales. Separate logins, individual commission rates and settlement reports.
- Automatic confirmations and reminders. Email and WhatsApp confirmations, pre-tour reminders, meeting point and map link. Automated WhatsApp messages require an integration with the WhatsApp Business Platform; some systems only open a pre-filled chat.
- Cancellation rules and weather cancellations. Free cancellation windows, partial refunds and date changes applied automatically, plus bulk cancellation and notification when weather stops a boat.
- Pickups and manifests. Hotel pickup times, driver lists, passenger manifests and QR or code check-in. In Turkey, transfer firms must report passengers to U-ETDS before departure, so check that the manifest can be exported for it; see our D2 license guide.
- Reporting and data ownership. Sales, occupancy and cancellations by channel, and a written commitment on how you get your data back if you leave.
How GetYourGuide and Viator connectivity works
- GetYourGuide lists integrated reservation systems on its connectivity partners page, including Bókun, Bookeo, Checkfront and FareHarbor. Setup typically means taking product IDs from your system and mapping them in GetYourGuide's supplier admin.
- Viator's supplier API overview names two core functions: checking availability and inserting bookings into your system. Amend, cancel and redeem are optional and can be handled in Viator's supplier extranet.
If you build a custom system for your own website, connecting it directly to these marketplaces is a separate development and certification project. If marketplaces bring a large share of your bookings, choosing a system already in their programmes is usually faster. We look at what marketplace commissions cost in GetYourGuide and Viator commission.
Ownership is worth knowing too. Booking Holdings announced its acquisition of FareHarbor in 2018, and Tripadvisor acquired Bókun the same year, placing it alongside Viator. That is neither good nor bad, but you should know whose system holds your customer data.
Ready-made, hybrid or custom?
| Criterion | Ready-made platform | Hybrid | Custom module on your site |
|---|---|---|---|
| Setup speed | Fast | Medium | Depends on scope |
| GetYourGuide and Viator connectivity | Usually built in | Comes from the platform | Separate development and certification |
| Design and brand fit | Limited to vendor templates | High | Full |
| Local payment providers | Varies by vendor | Depends on the platform | Built with the gateway you choose |
| Pricing | Subscription, per-booking fee or commission | Platform fee plus website cost | Development cost plus maintenance |
| Data ownership | Per contract | Per contract | Yours |
| Best for | Multi-channel operators with many tours | Brands selling direct and on marketplaces | A few tours, mostly direct sales, special business rules |
Boat tour booking system: extra checks
Most general tour platforms can run boat trips, but test these in the demo: capacity per vessel, morning trips not clashing with private charters on the same boat, bulk weather cancellations, and harbour and hotel pickup points. Dive operators should also check that certification level, equipment sizes and medical forms can be collected at booking. See our article on boat tour and diving websites for the rest of the site.
Switching systems
Plan any switch for the off-season. Export all future bookings with payment status, set up tours and capacities in the new system and run test bookings, move marketplace connections without closing the old one until the new one works, replace the booking buttons on your website and test checkout with a real card, then train staff and partners and compare both systems for the first weeks.
Questions to ask in the demo
- How does capacity drop when I sell the same boat as shared seats and as a private charter?
- Which payment providers do you support in my country?
- Is your GetYourGuide and Viator connection live, and who sets it up?
- Which languages do the booking page and emails support?
- Are WhatsApp confirmations automatic or a chat link?
- Do agents and hotel receptions get their own logins and commission reports?
- What is the total cost: subscription, per-booking fees, payment fees and setup?
- In what format do I get my data when the contract ends?

Summary
The right tour booking software is not the one with the most features; it is the one that feeds all your channels from one inventory and lets you take payments where you are based. If marketplaces drive your sales, a connected ready-made platform makes sense; if you sell mostly through your own site, a booking module built into the website can be the better fit. We do not sell booking software. We integrate the system you choose into your website, or build a booking and deposit module into it. See our tour agency website page.
Frequently asked questions
What does tour booking software do?
It keeps dates, time slots and capacity for every tour in one place, records bookings from your website, OTAs, agents and phone in the same calendar, takes online payments and sends automatic confirmations. That cuts double bookings and manual errors.
Why does GetYourGuide and Viator connectivity matter?
If you sell on those marketplaces, availability must sync automatically. Using a reservation system in their connectivity programmes means a seat sold on one channel disappears from the others straight away. Check each marketplace's own partner list.
Ready-made booking software or a custom system on my website?
If you sell on many channels and need OTA connectivity and agent management, a ready-made platform is usually faster. If you run a handful of tours and sell mostly through your own site, a booking module built into the website can be enough.
What is a boat tour booking system?
It is tour booking software set up for boats: capacity per vessel, departure times, private charters versus shared seats, weather cancellations and pickup lists. Many general tour booking platforms handle this; check vessel-level capacity in the demo.
Can I send booking confirmations on WhatsApp?
Yes, but automatic messages need an integration with the WhatsApp Business Platform. Some systems only offer a link that opens a pre-filled chat. Ask which one you are getting.
How is tour booking software priced?
Models include monthly subscriptions, per-booking fees, commission or a mix. Some platforms pass part of the fee to the customer. Ask for a written quote based on your own booking volume.
